Setup Microsoft365 MFA Guide








Prerequisite

The Microsoft Authenticator application is required on your smartphone for verification. Microsoft Authenticator requires an internet connection to receive the notification. Make sure you have an active internet connection on your mobile device.


Please download and install Microsoft Authenticator app on your mobile device. This application available for Android and iOS.


Setting up MFA

NotePlease close your Outlook mail application and logout from Microsoft Teams client or any Office 365 application you have logged in your computer before continuing.


  1. Once the administrator has enabled the MFA, login with your company’s email account on the web browser from your computer using the following URL: https://portal.office.com
  2. Click Next when prompted














  1. Select “Mobile App” for Step 1 and choose “Receive notification for verification” as your authentication method and click “Set Up”.



  1. Open the Microsoft Authentication App on your mobile device and scan the QR Code shown.



Note: If you are unable to scan the QR code using your phone camera, use the 9-digit code shown.

Once verified, a six-digit code will appear on your Microsoft Authenticator.

Click “Next” on your computer screen.


  1. Open the Microsoft Authenticator app on your phone to respond to the notification.



  1. An “Approve Sign-in” notification will pop up on your mobile device, choose “Approve



  1. Enter phone number and click “Next”.

  1. Click “Done” at the Additional security verification page to close the page.

Re-login to Office 365 Application


After the MFA setup completed, you need to re-login for each Office 365 applications running on your computer and smartphone (Ex: Outlook, OneDrive, Teams, Sharepoint, Excel, Word and Powerpoint). Make sure to approve the sign-in notification you received on your smartphone. 

Security Tips: 

DO NOT press “Approve” when prompted in Microsoft Authenticator if you are not performing any login to Office365. It is possible that your account has been compromised, and an unauthorized individual may have obtained your login credentials. We recommend taking immediate action to secure your account and prevent potential breaches by changing your password.

Login with MFA 

Once MFA has been setup, it requires MFA verification when login to your company’s account from any web browser.

  1. Sign in to Office 365 using web browser (https://portal.office.com)
  2. The following notification will be shown on the screen



  1. Open Microsoft Authenticator app on your mobile device and click “Approve” when it pops-up.



  1. Finish.
